The rules are in the software, not in your head. Rent is raised for every lease in one run, once a month, with a part month prorated by the day. A payment clears the oldest charge first, so a tenant who pays short stays short on the oldest month rather than the newest. A late fee is worked out only after that lease’s own grace days have passed — enter no grace days and no fee, and none is ever charged. A deposit is held, not spent: applied to unpaid rent, deducted for damage or cleaning and credited to the owner, or refunded with a move-out statement that shows the arithmetic. At month end you run the month — rent collected goes into each owner’s ledger, the management fee comes off at that property’s agreed terms, expenses and payouts follow, and the owner’s statement prints: opening, collected, fees, expenses, payouts, closing, reserve held, available. Then the trust check sets your bank statement against the money you are holding for other people — owners’ funds, deposits, rent not yet run, fees still in the account — and tells you what the difference is. Work orders go to vendors whose insurance you track, and the cost lands on the order. All of it on real double-entry books.
